a. Employee-specific docs (Zip file only)

You can bulk-email employee-specific documents to the recipients by uploading a single zip file here. The zip file may contain promotion letters, Form 16, etc. to be sent to individual employees. Each file (meant for an individual employee) inside the zip file should contain a name that starts with either the employee ID followed by an underscore (for example 1001_) or HRWorks User ID (followed by an underscore) of the recipient. After uploading the zip file, when you initiate the email transmission, HRWorks shall extract the individual file from the zip file, attach it to the mail body and send the email to the intended recipient.

Note:

  1. You can upload only zip file at a time.
  2. The upload has to be of zip format. Any other file format (PDF, PNG, etc.) will be rejected.
  3. If there is no corresponding file for a recipient, HRWorks will transmit an email without any attachment to the recipient. For example, if you choose a specific employee as a recipient but do not include his, say, promotion letter, in the zip file, the employee will receive an email that refers to say, the employee's promotion, but does not have any attachment (promotion letter).

b. Common docs (any file format)

You can bulk-email common documents to the recipients by uploading a file here. The files may be policy documents, company circulars, etc., meant for all recipients. Whatever is uploaded here will be mailed to all recipients as attachments.

Note:

  1. You can upload up to 3 files at a time.
  2. The upload can be of any format (zip, PDF, PNG, etc.).
